Welcome to HyRota. We respect your privacy and are committed to protecting the personal data you share with
us. This Privacy Policy describes how we collect, use, process, and protect your information when you use
the HyRota mobile application and our backend synchronization services.
2. Information We Collect
We collect information that you directly provide to us, as well as data automatically generated through your
use of the application:
- User Profile Data: Name, personal email, work email, default job title, default work
address, default work postcode, telephone number, and profile image URI.
- Shift & Rota Templates: Shift logs, titles, custom recurrence parameters, checklists,
and timesheets stored locally and synced.
- Location & Geofencing Data: To support automated check-in and check-out tracking, the
app monitors device location relative to your designated work site geofences. This data is checked locally
on-device. Shift check-in and check-out events (timestamps and whether geofencing was satisfied) are
stored and synchronized with our server.
3. Location Tracking & Background Geofencing
A core feature of HyRota is the ability to automatically register your shift attendance.
- Background Access: With your permission, the application accesses your device's GPS
location in the background to recognize when you enter or exit a designated work site geofence.
- Privacy Control: Background location tracking is entirely optional and can be toggled
on or off at any time via the "Auto Check-In/Out" toggle inside the user profile settings.
- Data Usage: Exact coordinate history is kept locally on-device. Only compiled check-in
and check-out times are stored on the server for report exports.
4. Storage & Synchronization
To support offline operation and secure cloud access, your data is processed as follows:
- On-Device SQLite: Your shifts, profile settings, and templates are stored locally in an
encrypted/private SQLite database.
- Cloud Syncing: When connected to the internet, local database transactions are
batch-uploaded to our backend server via JWT-authenticated requests. This stores your data in our secure
cloud database, partitioned by your verified personal email.
5. How We Use Your Information
We use the collected data for the following purposes:
- To display and manage your rotation calendar.
- To compile and export monthly CSV timesheet logs.
- To send shift reminders and location check-in reminders.
- To coordinate synchronization across multiple devices using your account email.
6. Data Retention and Deletion
You can clear all local storage inside the application setup menu. If you wish to delete your cloud profile
and synchronized timesheets permanently from the server, please contact our support team.
